Using Microsoft Outlook to Make a Reservation

This procedure uses the same concepts as scheduling an Appointment using the Calendar and scheduling a Meeting in Outlook. See the Outlook Tutorial if necessary to review these concepts.

  • Select your calendar from the Outlook Shortcuts

Your Calendar Page Should Look Similar to This

  • Choose File New
  • then enter the class name and instructor in the Subject line as shown
    • enter the course number followed by your name in parentheses
    • do not enter anything in the location line
  • “uncheck” the Reminder: box
  • enter any comments about the reservation in the blank area below the reminder (not shown in the picture)
    • if you are reserving the T3 Center, you must include a comment with the number of students in your class
      • if the class has 12 or more students, we will close the T3 Center to other users
      • if the class has 12 or fewer students, the T3 Center will remain open to other users

The New Appointment Screen with Appointment Tab Selected

  • Next click on the Attendee Availability tab (in Outlook XP this tab is called  Scheduling)
    • Your name will be listed first; since you are making the reservation you are a “required attendee”
  • Now type the computer classroom/lab that you wish to reserve using the following names:
  • Room LRC_012for LRC room 012

  • Room LRC_015for LRC room 015

  • Room AH_004for Anderson Hall room 004

  • Room T3MainT3 Center Main Area

  • Room T3MiniT3 Center Mini Lab

The New Appointment Screen with Attendee Availability Tab Selected

  • The first name is the “required attendee”

  • The second name, the room, is the room you are reserving

  • Select the date and time for your class/meeting:

Use the Meeting start/end time drop-down lists to Select the Date and Time.
The Blue Bars Indicate Times When the Room is Already Scheduled.
The white vertical bar with a green and red border indicates the reserved time.

  • The date and time you select must not be covered by a blue bar!
  • Click to send your request.

    • The request is sent via email to the “room”

    • You will receive a confirmation email from the “room”
      • it is possible but not likely that the room you have requested has been reserved but not posted on the official schedule
      • ITS does its best to avoid this but sometimes it is out of our control!
    • This “appointment” will also be placed on your Outlook calendar

If there is any problem with your reservation, you will be called by the ITS Help Desk
